Dealer orders and dues in one book

A wholesale shop keeps three papers: orders, stock, and who owes what. At close they disagree. The order book shows goods the godown does not have, or goods left and the cash book never saw the money.

What the day looks like

1. Take the order with items and quantities. The price is the price at that moment. A later price change does not rewrite the old order.
2. Stock falls when goods leave. If they have not left, the order stays open and the stock stays put.
3. A payment reduces the due. A partial payment stays partial. Do not mark the bill cleared.
4. At close, read the dues list and the stock list together.

Ask this before you pay

• Who imports the old spreadsheet, and whether that costs extra
• Whether one dealer can have a price the next dealer does not
• Whether you can download the dues, so the paper is not trapped if you stop
• Whether a deleted order leaves a trace of who deleted it

Ninety-nine orders is not a full year of a large wholesale market. It is the count for this customer so far. The number will change. We do not round it up.
